Privacy policy

This policy explains the information Foreman processes when answering inbound calls and preparing callback summaries.

This policy applies to Foreman's public website and service preparations. It also applies to the paid service when checkout opens.

1. Information Foreman processes

When a person calls a phone line using Foreman, the service may process the caller's name, a confirmed callback number, service address, description of the plumbing problem, urgency, any fields the caller declines to provide, call timestamps, call identifiers, routing metadata, and the resulting callback outcome.

Depending on the configuration disclosed by the plumbing business, providers may also process call audio, transcripts, or analysis long enough to answer the call and produce the requested summary. Foreman does not represent that recording is always enabled.

For business customers and website visitors, the service may process account contact details, business phone configuration, support communications, billing status, and ordinary technical logs.

2. Why the information is used

Information is used to:

  • answer inbound calls as an automated receptionist;
  • prepare and deliver a useful callback summary;
  • distinguish a disclosed unsolicited sales pitch from a legitimate or ambiguous caller;
  • operate, secure, troubleshoot, and improve the service;
  • manage subscriptions, activation, support, and cancellation;
  • meet legal obligations and investigate misuse.

Foreman is not designed to sell caller details or use plumbing callers' information for unrelated advertising.

3. Automated call handling

Foreman identifies itself as an automated receptionist. It uses automated systems to collect details and assign an operational outcome. Only a clearly disclosed unsolicited sales pitch should be declined; ambiguous callers are preserved for review.

A plumbing business remains responsible for reviewing summaries, returning calls, configuring its instructions, and deciding how to respond. The service does not verify caller identity, dispatch help, or make emergency decisions.

4. Service providers and disclosures

Foreman may use contracted hosting, telephony, AI, messaging, database, payment, security, and support providers to perform the service. They receive only the information reasonably necessary for their role and are expected to handle it under applicable contracts and safeguards.

Information may also be disclosed when required by law, to protect rights or safety, to investigate misuse, or as part of a business transaction subject to appropriate notice and protections. It is not publicly disclosed through permanent recording or transcript links.

5. Retention and deletion

Call records and callback details are intended to be retained only as long as needed for service delivery, customer support, security, dispute handling, and legal obligations. Retention may differ by record type, customer configuration, and provider controls. Foreman deletes or de-identifies information when it is no longer reasonably needed for those purposes, unless a longer period is required by law.

The service is designed to minimize ordinary logs and avoid placing raw phone numbers, addresses, transcripts, tokens, or payment credentials in general operational logs.

6. Security

Intended safeguards include access controls, provider signature verification, encryption in transit, secret separation, redaction, purpose-bound links, duplicate-event protection, and restricted administrative access. No system can guarantee absolute security.

7. Choices and requests

Depending on applicable law, a person may request access, correction, deletion, or a copy of personal information, or object to certain processing. Requests will be authenticated before information is disclosed or changed. Requests may be sent to support@calltheforeman.com.

8. Children

Foreman is a business service and is not directed to children under 13. It is not intended to knowingly collect children's information for an independent purpose.

9. Changes to this policy

Material changes will be posted with a revised date. When required, additional notice will be provided to business customers before a change takes effect.
